Digitisation Disposal

The Digitisation Disposal Utility is used with the Digitisation Disposal Process developed by CorpMem Business Solutions. The purpose of the utility is to remove the Barcode field and Box Number field values from the Document Additional Meta Data Custom Property Sets that are added to the documents that have their hard copies stored in a container specified in the Custom Property Set’s Box Number field.

Box2Box

Box2Box records the movement of documents from one box to another box by updating the box number field in the MAGIQ Documents Additional Document Meta Data Custom Property Set (CPS). This can be used for a wide variety of reasons. One reason is to move the contents of one or more partially full boxes into one box to make space.

Scan2Box

Scan 2 Box has two functions. The first is to update which box a document is stored in by scanning a barcode on the document. The second function is to separate documents eligible for Early Source Record Destruction (ESRD) from those that are not.

MULTIDEX

Indexing is the process of adding metadata to records so they can be more easily found and retrieved. In MAGIQ Documents, descriptive metadata can be added by providing information in the records description or by adding keywords in the document’s properties. MultiDex is a tool that helps users index documents with descriptive metadata. The terms with which the documents are indexed, are recorded in the document’s properties in the Keyword section in MAGIQ Documents.

Shortcut

Shortcut is a utility that simplifies the process of creating a shortcut to a document in MAGIQ Documents. The Shortcut utility can create shortcuts for multiple documents at the same time and updates the shortcut description with the description of the document.

Auto Close

The Auto Close utility allows users to cut off multiple folders at the same time. Auto Close knows which folders are eligible for closing by looking for folders that have an Anticipated Close Date custom property set and determining if the Anticipated Close Date is greater than the date entered into the earliest anticipated close date field and less than today provided Auto Close is set to true.

Duplicate Manager

Duplicate records reduce the value of your record collection by contributing to clutter and increasing the overhead of managing records. The CorpMem Advantage Duplicate Manager utility provides an easy to use maintenance process for managing duplicates.

Search multiple Libraries for duplicate records and either retain them as intentional duplicates or easily delete them.

NARM

The Name and Address Register (NAR) Manager (NARM) provides a facility to manage and consolidate correspondent information metadata applied to documents in infoRouter. InfoRouter doesn’t have a NAR. Correspondent information is stored in a custom property set that is attached to each piece of correspondence. Organisations can choose to treat correspondent’s details as a NAR and use this utility to consolidate all document’s correspondent details into a single set of details.
